A provenance register connects images, sounds and videos to their origins and checked usage conditions.
Keep the source link, creator, license and consultation date. An image appearing in search is not therefore free to use. Recheck scope when an asset changes market or medium. For AI creations, record their origin without presenting them as documentary photographs.
The register can also record modifications such as cropping, subtitles or adaptation. Some permissions have a scope that needs checking before reuse. If that scope is unknown, prefer original work or an asset with verified conditions. Production speed does not justify losing provenance. A clear record lets the next operator understand what can be reused without treating every available file as universally cleared.
Attach the permission context before the asset starts travelling.
A saved file often loses its history as it moves between an editor, a shared folder and a publishing tool. Keep the original source, creator, licence or permission context, intended use and any relevant restrictions beside the asset. An editorial embed, a screenshot used for commentary and a downloaded clip inserted into an advertisement are not interchangeable uses. The fact that a file was easy to obtain does not answer how it may be reused.

Make the rights record part of approval rather than a cleanup task after production. If an asset changes, record whether the change affects the source or permission assumptions. Keep attribution with derivatives where required, and preserve a route to the original source. When the basis is unclear, choose a different asset or obtain the missing permission instead of relying on a folder label saying “inspiration”. This operating discipline also improves the publication: accurate credits tell the reader what is documentary, what is illustrative and whose work is being discussed.
